How a Procurement Manager Selects B2B Loyalty Software Providers for an RFP

  • If you work in procurement at a company that sells to other companies, this page is about who you allow to bid. B2B loyalty software providers run rewards on customer accounts: a manufacturer’s distributors, a wholesaler’s bill-to accounts, a SaaS firm’s company seats. They are not the firms that run a coffee-shop points card.

The last time many teams bought “loyalty,” marketing picked a consumer suite because the demo looked friendly. Six months later sales could not see which legal entity earned the credit, finance could not find the amount in the ERP, and a branch user spent points headquarters never approved. That is why this shortlist is yours to run, with those rooms in the conversation before names go on paper.

The product you are inviting is B2B loyalty software. A consumer loyalty catalog, a customer referral widget and a rebate engine each have their own buy. If those names sit on this list, you will spend weeks comparing products that do not share a job.

Write the problem before you write the names

Ask sales or customer success to name the account that causes pain every quarter. One parent with three bill-to entities. A location that orders on its own. A contract that should have earned a renewal bonus and did not. That story is the filter. A vendor who cannot talk about that account in the first call does not need a full RFP.

Ask finance which system must show a credit: NetSuite, SAP, Dynamics, Oracle, or a CRM finance actually opens. Ask IT how users sign in today. You do not need a fifty-page brief. You need those three facts written down so the list cannot drift back to “anyone with a rewards catalog.”

Who belongs in the first conversation

Sales or customer success knows which accounts will revolt if the rules are wrong. Finance knows whether a credit is real. IT knows whether a new login will be ignored. Procurement holds the cap on how many firms get the packet.

If a director adds a favorite suite because the company already owns another module, keep the favorite on a side list until it can load the painful account. An existing master agreement is not proof that the product understands a parent, a bill-to and a location.

    Keep the first list short

Four B2B loyalty software providers is enough. Two can be firms you already know. The other two should be firms that will open a sample parent account, show who earned and who approved, and show where the credit would post. A consumer suite that “also does B2B” stays off until it can do that without a professional-services rewrite.

Channel teams sometimes want partner incentives in the same project. That work can sit next to this buy in a channel marketing plan. Do not merge the two packets. A partner rebate is not an account loyalty rule.

What the live session is for

Give each finalist the same sample: one parent, two bill-tos, one location, and the reward you actually pay (account credit, a business gift card, a training seat). Ninety minutes is plenty. They should show the hierarchy, a volume or contract-value move, and the credit in the system finance named. If they need a workshop to “configure later,” they are not ready for this RFP.

Procurement keeps the clock. Marketing does not reopen a consumer-points tour in that hour. Design for a program you will run later can wait. Teams who want a fuller strategy note can read how to design a B2B loyalty program after the shortlist exists. That article is about program shape. This one is about who is allowed to bid.

Price and security on the same page as the names

Ask each provider to state the unit they want to be paid on: repeat purchase, renewal, expansion. NextBee’s B2B loyalty page ties fees to revenue milestones set with the delivery team. If a bidder will only quote seats and hide the success measure, write that down. Finance will ask later.

Ask for current SOC 2 Type II and, where they apply, GDPR, CCPA and ISO 27001. NextBee lists those on the same page, with SSO and audit logs. A data-driven marketing slide is not a substitute for the audit letter.

Select B2B loyalty vendors only after that sample account has been seen. Extra demos after a weak sample are how the shortlist turns into a tour.

Bring one parent account and the credit system

We will load that structure, show who earns and who approves, and show where the credit would post. Pricing is tied to milestones you set. Security follows SOC 2 Type II, ISO 27001, GDPR and CCPA.
