What Information to Seek from Bidders for Your B2B Referral Software RFP

  • A B2B referral usually starts as a name in someone’s inbox. A customer or a partner introduces an account. Sales writes it down. Months later the deal closes. Then two people say they made the introduction, and finance is asked to pay both.

A B2B referral software RFP is the document that tests whether a vendor can hold that path in your CRM, not on a “refer a friend” page built for a consumer checkout. We will discuss today B2B referral software for companies that sell through clients, vendors or resellers: SaaS, manufacturing, financial services, healthcare and similar account sales.

A consumer referral program (a unique link, a first online order, store credit) is a different packet. A B2B loyalty program that rewards volume on an existing account is also a different packet. If those jobs sit in this RFP, you will collect answers that look complete and still cannot tell you who owns the deal.

    What you are buying

An introduction that becomes a lead or opportunity in CRM, a rule for when the deal is real enough to pay, an approval path, and a record finance can audit. A partner microsite with no CRM object is not that buy.

B2B referral path from an introduced account to a CRM opportunity to a payout after the deal is won

The introduction has to land in the system sales already uses

Ask how a referred company becomes a record in Salesforce, HubSpot, or Zoho. Ask which object holds the referrer, the new account, and the deal stage. Email and a portal are how people send names. They are not attribution. Attribution is the opportunity that sales works.

If the bidder cannot name that object, you will argue about “leads submitted” while revenue sits in a different system. Sales will stop using the program.

Pay after the deal is won, not after the form is sent

Consumer programs often pay when a friend checks out. B2B deals can sit in pipeline for a long time. Ask what stage releases the reward: qualified lead, signed order, first invoice, or a number of days after close. NextBee’s B2B referral page describes automated payouts and milestone rewards. The written answer still has to name your stage, not a generic “when the referral converts.”

Ask what happens if the deal is lost after someone was already marked as the referrer. Ask what happens if the contract is downsized. Those cases are how you overpay.

Two partners will claim the same account

Write down the last fight you had: two resellers, one logo, both sure they made the call. Ask how the software decides the owner, who can override, and whether a second introduction on the same company is blocked or queued.

Also ask how a duplicate company record is caught before sales works two opportunities. “We have fraud tools” is not an answer until they say what they match: domain, tax ID, CRM account ID, or something weaker.

Someone inside your company has to approve

Many B2B programs need sales or partner management to accept the introduction before it is treated as real. Ask who can approve, what they see, and whether that step is in the product or in email. NextBee lists multi-level approval and qualification rules. Make them show that step on your deal type.

If you also run incentives for the channel itself, keep that work next to this buy in a channel marketing solution. Do not fold channel rebates into this referral packet. A rebate on booked volume is not a reward for an introduction.

Finance needs a payout file they can defend

Ask for an export that lists the referrer, the account, the close date, the amount paid and the currency. NextBee describes multi-currency payouts, payment connections and ROI reporting. A dashboard screenshot is not an export.

Ask how the event reaches CRM and, if you use one, ERP. Name the systems in the packet so the answer cannot stay generic. Security should be in the same reply: SOC 2, GDPR and CCPA as they apply to your file.

Teams that also plan wider account campaigns can keep a B2B marketing track beside this. It is not a substitute for the CRM path above.

    What to attach

One page is enough: who refers (customer, reseller, both), which CRM must hold the deal, which stage pays, and the last duplicate-claim case you had. Attach it to the B2B referral software RFP.

If colleagues still need the category in plain language, send them the note on B2B referral programs that follow the deal. That article is about the idea. This packet tests the payout against a closed account.

Send the CRM and the stage that pays

We will show an introduction on your account object, a blocked duplicate and a payout that waits for the stage you name. Pricing is tied to revenue milestones. Security follows SOC 2, GDPR and CCPA.
