How a Procurement Manager Selects B2B Referral Software Providers for an RFP

  • Feature tables make every vendor look qualified. Portal, rewards, reporting, security: each row gets a yes. The choice then slides toward the nicest slides. That is how a consumer “refer a friend” tool ends up on a B2B shortlist, and how sales later refuses to use it.

A better way to select B2B referral software providers is to decide, before anyone demos, what “qualified” means in your company. In practice, it means this: an introduction from a customer or partner shows up as an opportunity in Salesforce, HubSpot, or Zoho, with one owner, and money does not leave until that opportunity is won. B2B referral software is built for that path. A store widget and a loyalty catalog are not.

Feature checklist of yes answers next to two written pages on CRM ownership and double claims

Look at the homepage before you send the RFP

Ten minutes on a website will cut the long list in half. Share buttons, discount codes and “tell a friend” copy belong to consumer programs. Partner-portal screenshots that never mention your CRM belong to brochures. You do not need a meeting to learn either fact.

Keep a name only when the public pages talk about deal stages, duplicate accounts and payouts after close. If those topics are missing, they will still be missing in the reply.

Two written pages beat a demo

Ask each remaining firm for two pages. The first page explains how an introduction becomes an opportunity in the CRM you actually run, and where the referrer’s name is stored. The second page explains what happens when two partners submit the same company, and which sales stage releases the reward.

A dashboard picture is not a page. If they cannot write those two things, sales should not sit through a product tour. Selecting B2B referral vendors this way costs less time than scoring twenty feature rows that will all come back “yes.”

Software you already license still has to write the same pages

A marketing cloud or CRM add-on you already pay for can be invited. It should not win by default. Campaign codes are not the same as an owner on the opportunity. If the add-on cannot stop a second claim on an account that is already in pipeline, it is only a label.

The same test applies to an advocacy and referrals suite that is strong at community campaigns. That work can run next to this project. It does not replace deal ownership.

How to explain the choice of B2B Referral Software Providers

When leadership asks why other names dropped out, point at the two pages. One firm never said where the record lives. One firm would pay when the form arrived. One firm had no rule for a double claim. That is a cleaner file than “we liked their demo.”

Fees and security still go in the file. NextBee’s B2B referral page ties price to revenue milestones and lists SOC 2, GDPR and CCPA. Put the fee unit and the current audit beside the two pages. A customer engagement narrative with no CRM field does not replace them.

Program design after the choice is a separate subject. Use the B2B referral partner program guide when you are ready to shape rules. It will not pick the vendor.

Send your CRM name and when you pay

We will answer in writing: where the referrer sits on the opportunity, and when money leaves. Pricing is tied to milestones you set. Security follows SOC 2, GDPR and CCPA.
